Welcome to the mobile app ITEMS

The following information will tell you how to get the most out of the application.

For the beginning:

📦 We recommend starting with one category of items.

For example, begin with your electronics. Or feel free to start with your coin collection, board games, or hobby equipment.


🛠️ Adding new items is super easy.

In just a few taps, you can log a new item and include details like its name, photos 📸, price 💰, personal notes 📝, purchase date and warranty 📅, who you lent it to 🤝 and more.

Thanks to a flexible structure and customizable settings, you can track anything that matters to you::

  • Categories and subcategories (e.g., Electronics → IT equipment)
  • Locations and sublocations (e.g., Home → Living room)
  • Users (Owner, User...)


All your information is stored in one place (in the ITEMS app) and always at you fingertips (on your phone), wherever you are.

Tips for Getting the Most Out of the App.

⚡ Build a habit - Make it part of your routine to log new items into ITEMS as soon as you get them. Over time, you'll create a complete and organized database of everithing that matters to you.


🎛️ Customize the app to fit your needs - Create your own structure of categories, subcategories, locations, sublocations, and users. You can do this when adding a new item or anytime under 👤 My Profile / ⚙️ Settings.

📸 Use screenshots as item cover photo - When buying sometnig, take a screenshot, crop the edges, and save into your gallery. It's quick way to get a clean, professional-looking image for your item.

Something broke and you need to check the warranty? Just open ITEMS - wherever you are. It’s helpful to have a photo of the product label or the serial number saved, especially if it’s hard to access on the item itself.

How to Use Bulk Changes.

🆕 Add Multiple Items at Once

When adding new items, you often start with just the basics - name, photo, price, or manufacturer. With Bulk Change, you can quickly assign shared details to all new items at once:

  • Category and Subcategory
  • Location and Sublocation
  • User and Owner
  • Status

Easy assign common attributes to multiple items at once.


📦 Moving or Relocating Items

Are you moving or storing things away? Assign a location or sublocation like "Box 1" to your items. That way, you’ll always know what’s in which box - whether you’re relocating or archiving.

Make Sure Your Lent Items Come Back.

Want to keep track of what you’ve lent out and to whom?

With the ITEMS app, it’s easy. Just set the item’s status to „Lent“, select the person you lent it to, and add the loan and return dates. You can also include a note, for example, about the item’s condition or where it was handed over.


📚 This way, things are more likely to come back and you don’t have to rely on memory.


When is this useful?

  • You lent a book to a friend.
  • Your neighbors borrowed your drill for a weekend project.
  • A friend took your camera on vacation.

It saves you time, stress, and akward misunderstanding.

Sharing Items and Transferring Ownership.

In the ITEMS app, you can share your items with another user, whether you just want to give them viewing access or transfer full control.


🔗 Sharing Items

  • You choose exactly what to share.
  • The user you share with can view the items, but cannot edit them.
  • You remain the owner and in full control.
  • You can stop sharing at any time.


🔁 Transferring Ownership

  • When you transfer ownership, you give up control of the items.
  • The new user gains full editing rights.
  • You’ll still see the items, but only as shared.
  • This is useful when changing your email or handing over management to someone else.

⚠️ Important: Ownership transfer is permanent. If you change your mind, the new owner must transfer the items back to you.

🔒 Security Rule

Both users must have each other listed in their users and the e-mail address must match the one registered in ITEMS.

detailed information and explanations

General information

  • The Items app has been created for you to keep track of anything and everything you can think of.
  • The app is designed to be used only on a smartphone.
  • The app can be downloaded from AppStore or Google Play.
  • The language of the app is determined by the language set on your phone.

New user registration

  • You have a free of charge, 7-day trial period to try the app, after which there is a fee.
  • Once you register, you will immediately be logged in to the app until you log out.
  • You can only be logged in to the app on one device at a time.
  • Your login password is confidential and should not be shared with anyone.

First steps

  • Don't be afraid to click on everything in the app.
  • In order to organise items efficiently, it is advisable to first undertake a basic setup. This involves defining categories, subcategories, locations, sublocations, and users. This can be found in the section: My profile / settings
  • For inspiration, see the page below for examples of categories and locations.
  • You can rename or delete the sample categories and locations and create new ones.

Creating items

  • A new item is created via the red button with the Items app logo (Quick actions).
  • The only requirement is the name of the item, the rest is up to you.
  • A photo is added separately.
  • Photos in the gallery – can be added from those stored on the phone or directly photographed and added. There is a limit of 10 photos. Please note: the photos in the gallery are uploaded to the server each time you edit an item, i.e. in a location with poorer connectivity, each edit of an item with photos in the gallery may take significantly longer than normal.
  • Notification is set to "Warranty end date". On this day, the app creates a notification.
  • Items can be created offline and will then be uploaded to the server when connected to the internet again. 
  • Existing items cannot be edited offline, but you can add an offline note to them.
  • When creating multiple items at once, you can add additional information about the category, subcategory, location, sublocation, owner and user by way of the bulk change feature.

Search and filter

  • You can use full-text search or filters to easily search for items in the app.
  • Full-text searches under "Item Name" and "Manufacturer / Source"
  • The range of filters are "Categories", "Subcategories", "Locations", "Sublocations", "Owners", "Users", "Status" and "Sharing with users".
  • Filters can be saved for easy retrieval in the future.

Item Status:

  • In place - basic status, the item is in its place.
  • Lent - I lent the item to someone with information on who, from when and until when.
  • Borrowed - I borrowed the item from someone with information from whom, from when and until when.
  • Wish - what I would like or a suggestion for a gift for someone. 
  • Archived - I no longer own the item, but I want to keep the information.  

Sharing of items and transfer of ownership

  • Sharing of items or transfer of ownership is only allowed to users that are interconnected according to the following condition: User A has user B's email address in My Profile / Settings / Contact Database and user B has user A's email address in My Profile / Settings / Contact Database. 
  • You can share your items with other users of the Items app. When you share an item, another user can see it but cannot edit it. Sharing can be cancelled anytime.
  • You can transfer your items to another user of the Items app by way of the "Transfer Ownership" feature. By transferring, you lose control of the item and the new user can edit, unshare or delete it, just as if they had created it themselves. You will see the item in shared items. This is an irreversible step.
  • When sharing or transferring – a notification will be sent to the user if enabled.

Other information

  • Deletion of items is irreversible.
  • The author of an item – there can only be one and they can edit, share or forward the item to another user.
  • The Owner or User designation is for reference only and multiple users may be selected.

Frequently Asked Questions

Solutions to complications that may arise when using the application:

The application supports only one logged-in device at a time. If you log in on multiple devices, you may experience synchronization or functionality issues. Similarly, if you log in with multiple accounts on one phone. In this case, follow these steps:

  1. Log out of the application (My Profile / Log Out).
  2. Uninstall the application, including its data (you will not lose any data).
  3. Reinstall the application and log in again.
  4. After a while, the data will resynchronize, and the application will work correctly.


If you request a new password, it should arrive in your email shortly, but it may take up to 5 minutes.
